Important: Deleting your account is permanent and cannot be undone. All your data will be immediately removed from our systems. Please review this information carefully before proceeding.
Self-Service Account Deletion (Recommended)
You can now delete your account directly from the app:
Step 1: Open the BPVA Calendar app and sign in to your account
Step 2: Navigate to your profile screen:
- Pending Users: Tap the menu icon (☰) → "Delete Account"
- Athletes: Open "My Profile" screen → Scroll to bottom → "Account Management" section
- Parents: Open "Parent Profile" screen → Scroll to bottom → "Account Management" section
Step 3: Tap the "Delete Account" button (shown in red)
Step 4: Review the warning about what will be deleted
Step 5: Confirm by typing "DELETE" exactly (case-sensitive)
Step 6: Your account and all associated data are immediately deleted
What Happens During Automated Deletion:
- ✅ Instant Processing: No waiting period - deletion happens immediately
- ✅ Complete Cleanup: All personal data removed from all systems
- ✅ Relationship Cleanup: Parent-athlete links automatically removed
- ✅ Emergency Contact Preservation: If you're a parent, your emergency contact info is preserved for linked athletes (only if they have no other parents)
- ✅ No Manual Intervention: Fully automated process
Alternative: Manual Deletion Request
If you cannot access the app, you can still request account deletion via email:
Step 1: Send an email to our support team using the contact information below
Step 2: Include your Google account email address that you use to sign in to the app
Step 3: Specify "Account Deletion Request" in the subject line
Step 4: We will confirm your identity and process your request within 7 business days
Step 5: You will receive confirmation once your account has been deleted
What Data Will Be Automatically Deleted
When you delete your account (either via app or email request), the following data is permanently removed:
- User Profile Information: Name, email address, photo, membership type
- User Membership Data: Membership status, expiration dates, notes
- Parent-Athlete Relationships: All links between parent and athlete accounts (with emergency contact preservation when needed)
- Emergency Contact Information: Your emergency contact details (preserved for athletes only when you're their only parent)
- Authentication Data: OAuth tokens, session information, Firebase Auth account
- Gym Check-in Records: All your location-based check-in history
- Runway Step Configurations: Pole vault approach run measurements (athletes only)
- Message History: Push notification preferences, dismissed messages, read status
- Device Registration: Firebase Cloud Messaging (FCM) tokens
- Admin Settings: Calendar selections and admin configurations (if applicable)
Smart Emergency Contact Handling:
If you're a parent being deleted:
- Your linked athletes are automatically unlinked from your account
- If an athlete has OTHER parents, they retain those connections
- If an athlete has NO OTHER parents, your emergency contact information is copied to their profile as their direct emergency contact
- This ensures athletes always have emergency contact information available
What Data Will Be Retained
The following data may be retained for legitimate business purposes:
- Calendar Events: Training schedules and events remain in Google Calendar (these are academy-wide, not personal data)
- Anonymized Analytics: Non-personally identifiable app usage statistics
- Legal Records: Data required for legal compliance or dispute resolution (anonymized when possible)
Data Retention Period
- Immediate Deletion (Self-Service): Personal account data is deleted instantly when using in-app deletion
- Manual Request Deletion: Data deleted within 7 business days when requested via email
- System Backups: Data may persist in automated system backups for up to 30 days
- Legal Requirements: Some data may be retained longer if required by law
Alternative Options
Before deleting your account, consider these alternatives:
- Uninstall the App: Simply remove the app from your device to stop data collection
- Revoke Permissions: Disconnect Google Calendar access in your Google account settings
- Disable Notifications: Turn off push notifications in your device settings
Processing Timeline
Self-Service Deletion (In-App):
- Instant Processing: Account deletion begins immediately after confirmation
- Automated Cleanup: All data removed from Firestore, Firebase Auth, and related systems (takes seconds)
- Immediate Logout: You are automatically signed out and redirected to the sign-in screen
- No Reversal: Once completed, deletion cannot be undone
Manual Deletion Request (Email):
- Request Received: We acknowledge your request within 2 business days
- Identity Verification: We verify your account ownership (1-3 business days)
- Data Deletion: Your data is permanently deleted (1-2 business days)
- Confirmation: You receive email confirmation that deletion is complete
Important Notes
- ✅ Self-service deletion is available directly in the app - no need to contact support
- ⚠️ Account deletion cannot be reversed once completed
- 📱 You will lose access to all app features and training schedules
- 🔄 To use the app again, you would need to sign up as a new user
- 👨👩👧 If you're a parent, your athletes will be automatically unlinked
- 🚨 Emergency contacts are preserved for athletes when needed (single parent scenario)
- 🏫 Academy staff will be notified of your account deletion for membership management purposes
- ⏱️ In-app deletion is instant; email requests take up to 7 business days
